Appointment Process: Administration and Implementation Guidelines for Postdoctoral Education
Beginning September 12, 2006, departments will no longer be required to advertise postdoc positions through OARS. An exception to the normal recruiting process has been granted for postdocs in that departments will be able to proceed directly to hiring with their dean’s approval as described below. Data on postdocs will be gathered through the normal hiring mechanism of the Personnel Action Form (PAF).
The process for hiring postdocs will be as follows:
- Hiring units will identify appropriate funding and available positions at the postdoc level.
- Appropriate approvals will be obtained up to, and including the college/division level.
- Hiring units will recruit for and select qualified candidates.
Letter of Offer:
- All offer letters (for either internal or external candidates) will utilize the approved templates found on the Office of Postdoctoral Education website.
- Prior to being sent to the prospective postdoctoral scholar, offer letters will be forwarded electronically to the Office of Postdoctoral Education (mugradschoolpdo@missouri.edu) in the Graduate School for approval. To expedite this process, the department chair and fiscal officer should be copied on this correspondence.
- The hiring department will be notified when the offer letter is approved or if changes are required. A copy of the approval message will be attached to the hiring documents.
- When a postdoctoral scholar has accepted, as indicated by his/her signature
on the offer letter, a copy of the signed letter will be provided to the
Office of Postdoctoral Education to complete the hiring process.
- Once a finalist is selected, hiring managers will work with local fiscal officers to initiate the hiring process (PAF and accompanying documentation).
- The PAF will be approved at the divisional level and then processed through normal channels.

7. Because the majority of applicant pools for postdoc positions consist of one applicant, there will be no attempt to capture data on these pools. Any documents such as advertisements, etc. must be maintained at the hiring unit level.
Reappointments
1. Reappointments in the first five years require only department level approval.
2. Templates for reappointment are provided. An electronic copy of the letter
is required for record purposes (mugradschoolpdo@missouri.edu).
3. Requests for the extension of appointments beyond five years require approval
by the Office of Postdoctoral Education.
Transfer to Another Position
1. If a postdoctoral scholar is later considered for a different full-time,
benefit-eligible appointment, the recruiting process appropriate to the new
position for an outside candidate must followed to ensure proper affirmative
action and diversity efforts.
2. Exceptions to this requirement, based on compelling reasons, may only be
granted by the Provost, who has delegated that approval authority to the Deputy
Provost.
Completion of Postdoctoral Employment
1. The Office of Postdoctoral Education will be notified when a postdoctoral
scholar leaves a postdoctoral position for any reason; including transfer to
another position, acceptance of a position outside the university, or termination
